In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle requires:
- To hire a vehicle from Birtley Car Hire, drivers must be a minimum of 21 years old. Age restrictions may differ based on vehicle type, and drivers under 25 may incur extra charges. A valid, full driving licence, appropriate for the selected vehicle category, is required, along with valid identification and proof of current address. Payment information and a security deposit must also be provided. Additional requirements may be outlined in the Rental Agreement.
3. Reservations and Payments
- Reservations can be made via our website, by phone, or directly at our Birtley office. A deposit may be necessary to confirm your booking. Full payment, along with a security deposit, is generally required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT as applicable. We accept major credit and debit cards, with secure processing through trusted payment providers.
4. Vehicle Pick-Up and Drop-Off
- At the time of collection, it is your responsibility to conduct a thorough inspection of the vehicle and report any pre-existing damage right away. A vehicle condition report will be prepared and must be signed by you. The vehicle should be returned in the same condition as it was collected, aside from normal wear and tear. Any new damage will be evaluated and fees may apply. Please ensure the vehicle is returned with the same amount of fuel as at the start of the rental; charges will be incurred for refueling if necessary. Late returns could lead to extra fees, so please notify us promptly if you expect to return the vehicle late. You will also be accountable for any parking tickets, traffic violations, or other charges that arise during your rental, in addition to an administration fee.
Insurance and Liability Terms
- All car rentals come with basic third-party insurance included. You will find comprehensive coverage details and excess amounts outlined in your Rental Agreement. Additional insurance options may be offered to minimize your financial responsibility. It is advisable to examine these options thoroughly. You remain liable for any damage or loss up to the excess amount unless additional insurance is purchased. Damage resulting from negligence, misuse, or violations of these Terms will be your responsibility, regardless of existing insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies depend on the type of booking and the notice period provided. Please check your booking confirmation or Rental Agreement for the specific terms that apply. Late cancellations or failure to show up may incur additional charges.
Prohibited Activities
Prohibited Uses of the Vehicle
- The vehicle must not be used for any unlawful activities or purposes. This includes racing, rallying, off-roading, or engaging in any hazardous actions. Transporting dangerous materials, sub-letting to unauthorized parties, or permitting unapproved drivers is prohibited. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, the vehicle should not be used beyond its intended design, should not exceed passenger or weight limits, and must remain within the agreed geographical boundaries unless authorized otherwise.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Birtley Car Hire disclaims responsibility for any indirect, incidental, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claim is limited to the amount you paid for the rental in the past 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
